Share the meeting agenda with all attendees at least 24 hours before the meeting so everyone can prepare and come ready to contribute.

Open the meeting by quickly reviewing the action items from last week: what was completed, what is still in progress, and any blockers.

Share key metrics / wins
Take 5 minutes to share the most important metrics from the past week and call out notable wins or milestones to celebrate.

Go around for blockers
Give each team member 60 seconds to share their top blocker or risk. Escalate anything that needs manager involvement.

Assign this week's priorities
Confirm the team's top 3–5 priorities for the week and make sure every priority has a clear owner and deadline.

Confirm action items + owners
Before closing, read back every new action item, confirm the assigned owner, and set a due date for each one.

End on time
Close the meeting at the scheduled end time — no exceptions. Park any unresolved items for async follow-up or a separate meeting.

Send recap email within 1 hour
Send a concise recap email within one hour of the meeting that lists action items, owners, and deadlines.
