Revoke departing employee access immediately and securely.
SOP Steps

Receive termination notice
Receive official notification from HR of the employee's departure date, reason for leaving, and any special handling instructions.

Disable email account
Disable the departing employee's email account on or before their last day. Set up an auto-reply and forward critical emails to their manager.

Remove from Slack + all tools
Deactivate the employee's accounts in Slack, project management tools, CRM, analytics platforms, and all other company software.

Revoke VPN access
Immediately revoke VPN credentials and any remote access certificates to prevent unauthorized access to internal systems.

Transfer owned files to manager
Transfer ownership of the employee's files, documents, and shared drives to their manager or designated successor.

Retrieve company hardware
Arrange return of any company-owned devices: laptop, phone, access cards, or other equipment. Wipe devices before reassigning.

Remove from payroll system
Notify the payroll team to process the final paycheck and remove the employee from the payroll system effective the termination date.

Log offboarding complete
Record the completion of all offboarding steps in the HR system and notify the manager that access has been fully revoked.
